How Old is My LEAMIS

Important:

Your data is stored in your LEAMIS Data File(s). Macintosh users: you have one file and it ends in .data. Windows users: you have two files; one ends in .4DR and the other ends in .4DD.
-Do not delete your data file(s). This rule applies when updating your LEAMIS application, see the instructions for Updating Your LEAMIS Application.

-At a minimum, backup your data file(s) to an external source such as a CD. Backing up your entire LEAMIS folder will take up more space. But will result in an easier restore, if needed.

Do not change the name of any of the files or folders.
Do not delete any files or folders.
Do not make copies of the files or folders on your hard drive.

New In Version 2011.7

Import/Export

UPDATED the Export Kan-Service Students on the Import/Export menu. 
The Previous versions of Export Kan-Service Students feature exported only the Most Recent MIS/IEP record. LEAMIS 2011.7 exports all the MIS/IEP records with services in FY 2012.

KSDE staff was alerted to a situation concerning LEAMIS exports of KAN_Service files.  This situation may or may or may not affect your information entered into KAN_Service at this point.  Teacher/provider data migrated from LEAMIS to KAN_Service is not affected by this situation.

The 2011.3, 2011.4, 2011.5 and 2011.6 versions of the LEAMIS Export Kan-Service Students feature exported only the most recent IEP that contains service lines in FY2012.  In some situations, there are students in LEAMIS with more than one IEP with FY 2012 service line and those service lines need to be migrated from LEAMIS to Kan_Service.  LEAMIS v2011.7 is being released for users who will need to populate Kan_Service with FY2012 service line data from more than one IEP.  Please see the table below for a list of specific groups of users and whether the group needs to use LEAMIS v2011.7.  The LEAMIS v2011.7 Kan_Service export counters will be re-set to three.

Situation Do I need to use the LEAMIS v 2011.7 Kan_Service Export?
  • IEP migration users -
    MIS clerks that use their IEP program exclusively to import student records into KAN_Service. LEAMIS has not been used to migrate or populate KAN_Service.
  • No. 
    The MIS clerk is not migrating LEAMIS data.
  • Kan_Service 100% Key board Entry –
    MIS clerks that have key boarded/typed all student information into KAN_Service. The LEAMIS migration export was as not used.
  • No. 
    The MIS clerk is not migrating LEAMIS data.
  • Early migration users -
    MIS clerks who migrated data from LEAMIS on or before the beginning of the school year and have been entering new student IEPs into KAN_Service.   The student data migrated from LEAMIS to Kan_Service had one IEP with FY 2012 service lines at the time the data was migrated.  All subsequent work has been done in KAN_Service.  
  • No. 
    The MIS clerk migrated LEAMIS data when LEAMIS contained one IEP per student.  There is not a need to use LEAMIS 2011.7 because all of the FY 2012 service line data was exported by the LEAMIS Export Kan-Service Students feature.
  • Later migration users –
    MIS clerks that migrated data from LEAMIS after the school year started. These users entered subsequent IEPs for a student into LEAMIS which resulted in students with more than one IEP with FY 2012 service lines.   The clerk then export data from LEAMIS and imported it into Kan_Service. Only the data from the most recent LEAMIS IEP was exported by LEAMIS.  Any students with more than one FY IEP with FY 2012 service lines will have only their most recent IEP data exported from LEAMIS and imported into Kan_Service.   These students may show a no services at the beginning of the school year verification in KAN_Service due to the first IEP of the school year is missing.
  • Yes. 
    The LEAMIS data was migrated when LEAMIS contained more than one IEP per student.  The LEAMIS Export Kan-Service Students feature exported FY 2012 service line data from the most recent IEP.  IEPs with FY2012 service line data that were not the most recent IEP were not exported by LEAMIS and not migrated into Kan_Service.  LEAMIS 2011.7 is needed because it will export all of the FY2012 service line data when the LEAMIS Export Kan-Service Students feature is used.      Do NOT perform a subsequent import of the data from any version of the LEAMIS Export Kan-Service Students feature into the current version of Kan_Service.  The current version of Kan_Service will create a second student profile if you import the data from any version of the LEAMIS Export Kan-Service Students feature.  The Forthcoming Kan_Service upgrade release will update the student profile with all of the LEAMIS FY2012 service line data when the user imports the data from the LEAMIS v2011.7 Export Kan-Service Students feature.  Please wait until the Forthcoming Kan_Service upgrade is released to import the data from the LEAMIS v2011.7 Export Kan-Service Students feature  into Kan_Service.
  • Yet To Migrate users –
    MIS clerks who have not yet entered any student records in KAN_Service and intend to use LEAMIS to export the KAN_Service file. These users have continued to enter FY2012 IEPs in LEAMIS.   
  • Yes. 
    The LEAMIS has not yet been migrated into Kan_Service.  LEAMIS 2011.7 is needed because it will export all of the FY 2012 service line data when the LEAMIS Export Kan-Service Students feature is used.    Do NOT import the data from any version of the LEAMIS Export Kan-Service Students feature into the current version of Kan_Service.  The current version of Kan_Service will create a second student profile if you import the data from any version of the LEAMIS Export Kan-Service Students feature.  The Forthcoming Kan_Service upgrade release will import all of the LEAMIS FY2012 service line data when the user exports the data using the LEAMIS v2011.7 Export Kan-Service Students feature.  Please wait until the Forthcoming Kan_Service upgrade is released to import the data from the LEAMIS v2011.7 Export Kan-Service Students feature  into Kan_Service.

State Performance Plan

Modified Indicator 11:  The FY 2011 Indicator 11 data will be collected and submitted via LEAMIS. Changes made to data entry layout to reflect the change from Consent for Evaluation to Date Consent for Evaluation Received.  Changes made to random sample feature. 

Modified Indicator 12:  The FY 2011 Indicator 12 data will be collected and submitted via LEAMIS. Change to data entry layout, added text box to Staff Error reason. 

Indicators 5, 6 and OSEP LRE reports:  Modified calculation of Federal Environment (used in OSEP Table 3) to only use servicelines that are in effect on the Table 3 specified create date.

Indicator 6 and OSEP LRE reports:  Fixed error in Fed Environment calculation for 3-5, TM, TL, UM, UL.  Was including the K time in numerator when calculating percent 50% or more (step 2 of ECSE-OSEP Settings.doc).

Verifications:

Added new verifications for fund 2 - ACC # Resp Bldg.  If fund=2 and ACC # Resp Bldg, then give both R2 and ACC verifications.  [PP030411M1]
Modified the verification of ACC.  For ACCs that were buildings (for fund 2), was not checking to see if the building was closed.  Now, will give ACC verification if building is closed.

Using Safari Browser?
Select Preferences. Go to Download Settings. Uncheck the Open Safe Files After Downloading checkbox.

  • After you download the stuffed file, drag it onto Stuffit Expander to extract a folder by the same name.  It will have "leamis app" in the name.

  • Open the newly created "leamis app" folder on your desktop.

  • Copy the LEAMIS application in the newly created "leamis app" folder.

  • Paste the LEAMIS application into your LEAMIS folder. Your LEAMIS folder will be probably be named LEAMIS ### where ### is your LEA number (ie LEAMIS 608).

  • When it asks you if you want to replace, click on Yes to All.

  • Open LEAMIS in your LEAMIS folder like you normally do.

  • Enter the Username and Password.

  • After you click on Connect, the Open file dialog will appear.  You will need to locate your LEAMIS folder and open your LEAMIS###Data.data file.  Be very careful that you open the LEAMIS folder containing the LEAMIS data file you are using . Be sure you are not opening an old LEAMIS data file that you have somewhere else on your computer or on your network.   The Open file dialog has a drop down menu  which will show you the path/hierarchy of where the current folder is located.  If the the data file you are about to open is not in the correct folder, do not open it.  Navigate to the correct folder and open the correct data file.

  • If you do open the wrong data file by mistake, you can force LEAMIS to give you the Open file dialog by holding down the ALT key when clicking on the Connect button.

  • It is never a good practice to have more than one LEAMIS data file on your computer or on a drive where LEAMIS can access it.

Windows Version...

Click on the button below to download the Windows Version.

Windows users will find the LEAMIS self extracting zip dialogs have changed since the deployment of FY2009.6.  A new version of the zipping program is used to create the self-extracting archives.  The steps are the same.

  • After you download the self extracting file, open it to extract a folder by the same name.  It will have "leamis app" in the name.

  • Open the newly created "leamis app" folder on your desktop.
